Introduction

This policy is established to comply with relevant personal data protection laws, specifically Decree No. 13/2023/ND-CP of Vietnam, ensuring compliance with data protection requirements as a foundation for NAVER VIETNAM’s sustainable business operations.
This policy outlines how NAVER VIETNAM collects, uses, and processes personal data related to recruitment and recruitment promotion activities. This policy is approved by the HR department and is effective from 09th June 2025, replacing all prior relevant documents and guidelines (if any).

Privacy Policy Contents

Definitions
    • NAVER VIETNAM: NAVER VIETNAM
    • Recruitment Platform: The official recruitment channel for NAVER VIETNAM *Greenhouse, etc
    • Competitions hosted or co-hosted by NAVER VIETNAM: This encompasses contests open to all individuals, available in both online and offline formats, including live events
    • Personal Data: Any information that is expressed in the form of symbols, text, numbers, images, sound, or similar forms in an electronic environment that is associated with a specific individual or helps identify a particular individual.
    • Sensitive Personal Data: Any data as defined under Article 2.4 of Decree 13/2023/ND-CP, including biometric data, health information, or other sensitive identifiers. NAVER VIETNAM does not intentionally collect or process sensitive personal data in its recruitment process.
Legal Basis for Processing Personal Data
By submitting an application to NAVER VIETNAM, or participating in competitions organized or co-organized by NAVER VIETNAM, candidates acknowledge that the collection and processing of their personal data are necessary for the screening, recruitment, and pre-recruitment processes. Personal data will primarily be used to assess suitability for the applied position and, if successful, facilitate the hiring process. NAVER VIETNAM is committed to collecting only the necessary personal data for the purposes stated in this policy.
NAVER VIETNAM processes personal data based on the following legal grounds:
    • • Lawful recruitment and recruitment promotion activities.
    • • Lawful competitions and the promotion of the competition.
    • • Compliance with legal obligations or providing information to competent authorities.
    • • Protection of candidates’ rights as per relevant regulations.
This policy is governed by the laws of Vietnam, and any disputes arising out of this policy will be resolved by the competent courts in Vietnam.

NAVER VIETNAM will notify or register its data processing activities with the competent authorities when legally required, including in cases involving sensitive personal data or international data transfer.

Hiring Process Data
  • • Assessments, coding tests, and other evaluation materials collected during the recruitment process
  • • Interview recordings (if conducted via teleconferencing platforms such as Zoom)
  • • Any additional information voluntarily provided as part of the application and onboarding process (e.g., resume, cover letter, additional supporting materials)
When Personal Data is Collected
NAVER VIETNAM collects personal data in the following cases:
  • • When candidates visit the official recruitment website
  • • When candidates submit applications via job advertisements or recruitment platforms
  • • When contestants submit applications through recruitment channels or register for competitions.
  • • When candidates interact with NAVER VIETNAM through telephone, email, in-person interviews, social media platforms, or other communication channels
  • • When recruitment agencies or third parties provide candidate information on their behalf (with prior consent from the candidate)
  • • When candidates provide documents or information voluntarily
Consent for Processing Personal Data
By applying for any NAVER VIETNAM job posting, enrolling in any competition hosted or co-hosted by NAVER VIETNAM, registering an account on the official recruitment platform, or disclosing personal data to NAVER VIETNAM, candidates agree (without restriction or limitation) to NAVER VIETNAM’s collection, processing, use, storage, transfer, disclosure, and handling of such personal data in accordance with this policy. Candidates may withdraw their consent at any time (refer to "Data Subject Rights" section).
Candidates may withdraw consent at any time by contacting NAVER VIETNAM via the contact details in Section 9. Upon withdrawal, NAVER VIETNAM will cease processing and delete personal data unless required otherwise by law. NAVER VIETNAM reserves the right to modify and update this policy, and where required, will seek candidates’ consent for any substantial changes in accordance with applicable personal data protection laws.
Purpose of Processing Personal Data
NAVER VIETNAM may collect, use, disclose, and/or process candidates' personal data for the following purposes:
  • • Assessing the suitability of candidates/contestants for recruitment and admission positions, and supporting their onboarding process;
  • • Evaluating suitability for other potential job opportunities
  • • Pre-hire processes such as compensation structuring, benefits assessment, and insurance processing
  • • Improving the recruitment experience through feedback and surveys
  • • Managing communication and engagement with candidates regarding job opportunities
  • • Complying with legal and regulatory requirements
  • • Conducting statistical analysis and internal reporting
NAVER VIETNAM may share candidate data with third parties such as:
  • Parent company entities for centralized HR decision-making
  • Third-party recruitment platforms (e.g., Greenhouse)
  • Authorized regulatory agencies upon request
  • Such disclosures will be conducted with appropriate safeguards and only with prior consent when required.
NAVER VIETNAM implements data protection measures including data encryption, access control, employee training, secure storage systems, and regular audits to ensure the integrity and confidentiality of personal data.
Data Subject Rights
Candidates have the following rights concerning their personal data:
  • Right to be informed: Candidates shall be informed about how their data is processed.
  • Right to access: Candidates may request access to view, edit, or update their personal data.
  • Right to withdraw consent: Candidates may withdraw their consent for personal data processing at any time.
  • Right to request deletion: Candidates may request the deletion of their personal data unless otherwise required by law.
  • Right to restrict processing: Candidates may request to limit the processing of their personal data.
  • Right to object: Candidates may object to the processing of their personal data in specific cases, including for advertising or marketing purposes.
  • Right to lodge complaints and seek compensation: Candidates may file complaints or initiate lawsuits if their data protection rights are violated.
NAVER VIETNAM will process requests within 72 hours unless otherwise provided by law.
Retention of Personal Data
NAVER VIETNAM will retain candidates' personal data for a duration necessary to fulfill the purposes stated in this policy. Specific retention periods include:
  • For unsuccessful candidates: Personal data will be retained in accordance with applicable legal regulations before being permanently deleted.
  • For successful candidates: Personal data will be retained for the duration of employment and as required by legal obligations.
Upon the expiration of the retention period, NAVER VIETNAM will take necessary measures to delete or anonymize personal data to prevent further processing.

NAVER VIETNAM may transfer personal data outside of Vietnam for processing and storage purposes. In such cases, the company ensures that adequate data protection measures are in place in accordance with Vietnamese law.
